How to Automatically Sync HubSpot Leads to Google Sheets Using Zapier (Step-by-Step)

⚡ Architecture: HubSpot CRM to Google Sheets via Zapier Automation

Manually exporting CSV files from your CRM to run weekly sales reporting, pipeline reviews, or agency client handoffs is inefficient and prone to human error. If your inbound marketing campaigns generate leads daily, keeping a live, automated backup in a spreadsheet allows your sales and analytics teams to slice data in real time—without granting expensive CRM seat licenses to every stakeholder.

In this technical walkthrough, we will configure a reliable, automated pipeline that captures every new contact created in HubSpot CRM and instantly appends their details into a formatted Google Sheets spreadsheet using Zapier.

💡 WORKFLOW OVERVIEW

This integration uses a 2-Step Instant Zap. Because it only requires a single Trigger (HubSpot) and a single Action (Google Sheets), it runs entirely within Zapier's Free Tier (up to 100 tasks/month) without requiring a paid subscription.

🛠️ Prerequisites & Setup Requirements

Before building the automation pipeline, verify you have active administrative or edit access across the following platforms:

  • HubSpot CRM Account: Free or Starter tier with permission to authorize third-party apps.
  • Google Account: Standard Gmail or Workspace with edit rights on Google Drive.
  • Zapier Account: Free or paid tiers are supported.

Step 1

📂 Structure Your Destination Google Sheet

Zapier requires clear row headers to map incoming HubSpot properties accurately. Setting this up first prevents field misalignments during testing.

  1. Navigate to Google Sheets and create a new blank spreadsheet.
  2. Name the sheet: HubSpot Live Lead Database.
  3. Rename the active tab at the bottom from Sheet1 to: New Contacts.
  4. In Row 1, establish your column headers across individual cells:
    Col A: First Name
    Col B: Last Name
    Col C: Work Email
    Col D: Phone Number
    Col E: Lifecycle
    Col F: Timestamp
⚡ PRO ARCHITECT TIP:

Freeze Row 1 immediately (View > Freeze > 1 row). This ensures your column labels stay locked in place as hundreds of automated lead rows populate underneath.

Step 2

🔌 Build the HubSpot Trigger in Zapier

  1. Log into your Zapier Dashboard and click the Create Zap button.
  2. In the Trigger module, search for and select HubSpot.
  3. Under the Event dropdown, select New Contact. (Note: If you only want leads originating from landing pages, choose "New Form Submission" instead).
  4. Click Account, choose Connect a new account, and authorize Zapier to access your HubSpot portal.
  5. Click Test Trigger. Zapier will fetch recent sample contact records from your HubSpot CRM. Choose a record that has complete profile fields to make mapping easier in the next step.
⚠️ CRITICAL VALIDATION CHECK:

Ensure your web lead capture forms enforce Email Address as a mandatory required field. If a user submits an empty profile, HubSpot still records a contact ID, which will generate an empty row inside your destination spreadsheet.

Step 3

📊 Configure the Google Sheets Action

  1. In the Action block below your trigger, search for and select Google Sheets.
  2. Under the Event dropdown, choose Create Spreadsheet Row. Click Continue.
  3. Connect and verify your Google account credentials.
  4. Under the Action parameters, set the target locations:
    • Drive: My Google Drive
    • Spreadsheet: Select HubSpot Live Lead Database
    • Worksheet: Select New Contacts

Step 4

🎯 Map CRM Data Fields to Spreadsheet Columns

Once you select your worksheet, Zapier dynamically pulls in the row headers you defined in Step 1. Click into each field and pair it with the corresponding data token from HubSpot:

Google Sheet Column (What you see) Zapier HubSpot Dynamic Token (What maps)
First Name 1. First Name: [Value]
Last Name 1. Last Name: [Value]
Work Email 1. Email: [Value]
Phone Number 1. Phone Number: [Value]
Lifecycle Stage 1. Lifecycle Stage: [Value]
Created Timestamp 1. Create Date: [Value]

Step 5

🚀 Test Execution and Go Live

  1. Click Test Step in Zapier.
  2. Open your Google Sheet tab. A newly populated lead row should appear instantly with test data.
  3. Return to Zapier, name the Zap HubSpot > Google Sheets Lead Sync in the top bar, and toggle it to Publish.

🔍 Frequently Encountered Pitfalls & Edge Cases

  • Delay in Data Delivery: On Zapier's free plan, triggers poll every 15 minutes. If a new contact registers in HubSpot, it may take up to a quarter of an hour to reflect in your Google Sheet unless you are on a premium plan featuring instant webhooks.
  • Added Columns Not Displaying: If you add a new column to Google Sheets later on, open the Action step in Zapier and click "Refresh fields" to reload the latest column headers.
  • Deduplication Needs: If leads submit updates to existing forms, this Zap appends a new row rather than updating previous rows. For deduplication, consider adding a Zapier Lookup Row search step before the creation action.
